Anti-Spam & Email Sending Policy

Version 1.0 — last updated September 24, 2026

Effective: August 23, 2026 PURPOSE This policy governs email sent by My Financial Butler and documents the consent, recipient-acquisition, content, and reputation practices used by Arthur Nicolas LLC. TRANSACTIONAL LAUNCH USE Our initial email program is transactional. It supports account verification, password reset and recovery, security alerts, billing notices, material account-status messages, customer-requested service updates, support conversations initiated by a customer, and individual replies to legitimate inbound business correspondence. We do not use Amazon SES for unsolicited bulk or purchased-list marketing. HOW RECIPIENTS ARE OBTAINED Account recipients provide their own email address during signup and must confirm address ownership with a time-limited verification code. Support and business-correspondence recipients contact us first or are existing parties to the relevant transaction. We do not purchase, rent, scrape, harvest, append, or trade email addresses, and we do not use third-party lead lists. CONSENT AND EXPECTATIONS Essential account messages are disclosed before account creation and are limited to operating, securing, and administering the requested service. Optional commercial email, if introduced, is a separate choice that is off by default. We keep auditable records appropriate to the communication source: policy/version acknowledgments for account messages and the inbound conversation or existing business relationship for individual replies. CONTENT AND SENDER IDENTITY We use truthful From names, sending domains, subjects, headers, and routing information. We do not send phishing simulations, deceptive content, impersonation, malware, misleading financial claims, or messages that conceal their purpose. Transactional content appears prominently and is not used as a pretext for advertising. BOUNCE, COMPLAINT, AND SUPPRESSION CONTROLS Every Amazon SES send uses the approved transactional configuration set and is checked against account-level and application-level suppression controls. Hard bounces and complaints are suppressed immediately and are not resent. Delivery, bounce, complaint, and reject events are recorded and monitored. Reputation alarms are configured below Amazon SES enforcement thresholds so sending can be stopped and investigated early. UNSUBSCRIBE AND REVOCATION Essential account messages cannot be disabled while the account remains active because they protect and administer the service. Optional commercial email includes a clear unsubscribe method, and opt-out requests are honored promptly. A person may also email support@myfinancialbutler.com to stop optional email. We do not require payment or unnecessary personal information to process an optional-email opt-out. SENSITIVE DATA Email never includes full credit-report details, Social Security numbers, full financial account numbers, dispute contents, or similarly sensitive uploaded documents. Messages direct the customer to the authenticated portal when sensitive information is available. COMPLIANCE AND ENFORCEMENT We follow applicable email law, the AWS Acceptable Use Policy, AWS Service Terms, and Amazon SES sender-reputation practices. Accounts, integrations, or personnel that attempt unauthorized or abusive sending may be suspended or terminated. REPORTING Report an unwanted or suspicious message claiming to be from My Financial Butler to support@myfinancialbutler.com.
